The Laboratory Relocation Process 

Preparing your laboratory for a move starts with meeting company representatives to assess your  relocation needs. 

We gather information to assess your: 

Move timeline

Any deadlines your company faces.

Move distances.

Move obstacles. 

Laboratory inventory. 
For companies lacking an accurate inventory, we can prepare an up-to-date inventory that assesses all your instruments, accessories, chemicals, samples and hazardous materials. 

Qualification and compliance requirements.

Initial Laboratory Relocation Steps 

Create an equipment database that includes existing assets as well as items on order. The inventory addresses:
Current instrument locations 
Individual instrument move date
Qualification and compliance requirements for each instrument
Final instrument location
Details regarding each instrument's related components 
Instrument setup / operational deadlines 
Date each instrument will be fully operational

Create a realistic move schedule. 
Our relocation experts employ sophisticated software to create relocation timelines and to track move progress. Our system allows timely and accurate communication with customers and subcontractors throughout the relocation process. 
Hold relocation meetings with move coordinators and staff each week. 
Initiate a site orientation to assess access issues, including: door sizes; elevator availability and capacity; and facility requirements. 
Arrange for special lab needs, such as moving high priority and restricted samples (DEA restricted drugs, RNA, DNA). 
Assess compliance documentation needs and prepare any necessary IQ / OQ protocols.
Coordinate with facility management and building contractors regarding schedule changes. 
Assess special-equipment needs for the relocation, such as special trucks or cranes to move large equipment. 
Select subcontractors for the move and chemical waste management. 

During the Laboratory Relocation

Tag each item with system and asset ID; the current and future location; and any  asset information specified by you. 
Pre-calibration, as needed, of lab instruments before disassembly. 
Pre-shipment preparation of lab instruments before dismantling, such as instrument decontamination. 
Disassemble each lab instrument, ensuring that all systems, components, accessories connecting tubing, software, cables, manuals and other items are properly documented, tagged and packed. Each component is packaged separately, then tagged and packed with each system to assure each system is properly identified and the original components are available for faster setup. 
Pack lab ware, accessories and laboratory spare parts. 
Oversee and assure the proper handling of hazardous wastes, chemicals, laboratory samples, etc. 
Manage and coordinate all sub-contractors.

Post-Move Laboratory Setup 

Once in your new lab, our relocation specialists re-install each lab instrument and, if necessary, provide PM, calibration or IQ OQ PQ / PV qualification.

Our multi-vendor compliance specialists are skilled in handling sophisticated laboratory instruments from numerous manufacturers, including the custom "mixed" instrument systems found in many laboratories. 

Post-move steps:

Unpack and install laboratory instruments in the new location. 
Test the functionality of each lab instrument at its new location. 
Calibration, as needed, of lab instruments. 
Provide IQ OQ PQ qualification and  validation services, as needed. 
Provide Preventive Maintenance, as needed.
Deliver samples to each department and lab.
