BioTrak is a sophisticated, yet user-friendly tracking program enabling you to efficiently manage your assets and instrument service and validation histories.
BioTrak performs multiple tasks, including tracking equipment, financial data, and equipment service and validation histories, in both specific incident reports and as a listing of service-cost totals.
Inventory your instruments
... and track them down.
BioTrak’s search utility allows you to quickly find an item based on virtually every parameter, such as manufacturer, serial number, location or type. List all equipment in a category for review, or further limit your search to a particular brand or purchase or year. You can determine which instruments are aging, which are in oversupply, which have high service costs -- quickly, simply.
BioTrak allows you to seamlessly browse through
various screens about a single item, from asset information to
accounting data, from your inventory list of instruments, to detailed
service and validation histories, and then to a panel detailing totaling
service costs for each instrument in inventory -- all with the click of
a button.
Data entry is simplified too. Fields on all the information panels are
linked to enable automatic updating of files and to keep all data
current. Any information placed on one panel is distributed to the
appropriate fields in all the panels. Information needs to be input only
once. As an example, when an instrument’s manufacturer or model and
serial numbers are entered in one panel, the information will be
distributed to all the appropriate panels.

Your assets, financial data, and service
and validation records are organized in five main areas:

Asset Information:
Specifics for each instrument in inventory,
noting instrument description, model, make, serial number and
other system components. An instrument picture and comment space
provide further asset details. A space for comments is also
provided. (See

Service/PM Report
& Tracking: Individual reports track an instrument’s
repairs, preventive maintenance, calibration and special services. Cost details for parts and labor as well as vendor information are provided for each service call. Engineer’s comments, service summaries,
part numbers, mileage, and work time are also detailed. You can also
record the date of the next service and have the program notify you
before the upcoming service. If you have a service contract, you can
also input the contract start and end dates. Also, you can easily page
through each individual service report to track an instrument's service

Validation Report & Tracking: Individual
reports track an instrument's validation history. The customized page
includes starting and ending times and dates validation service; travel
time and distance; and text boxes to record engineer's comments and to
describe the services performed. You can also record the date of the
next validation and have the program notify you before the upcoming
service call. If you have a service contract, you
can also input the contract start and end dates. In
addition to recording the specifics of an individual validation report,
you can also easily page through each individual validation report for
an instrument to track the equipment's validation history. (See

 Financial Information: Detailed financial/asset information about each instrument, including depreciation, book value, and cost. Specifics such as date placed in service and a space for financial notes offer the added detail for assessing an instrument.

 Instrument List: A tabular listing of all inventoried instruments or only selected items based on a defined search parameter, both allowing a quick survey of your company's instruments.

Service Costs: A tabular listing of service cost totals, with subtotals for parts, labor and miscellaneous entries for each instrument, allowing you to determine the total service cost for the life of an instrument.
